Job Summary

 

We are looking for an Administrative Assistant to provide administrative support to various areas of our corporate office in Asunción, Paraguay. In this role, you will be responsible for planning, managing, and coordinating all aspects related to the general administration of the office. You will perform tasks related to customer service, organization, and planning of events such as customer visits and business meetings. You will also provide on-site support to the procurement, human resources, general services, and other departments.

 

The position is based in Santiago, Chile.

 

Tetra Pak does not sponsor work visas or relocation processes for this position.

What you will do

 

As an Sales Assistant, you will:

 

  • Manage the administrative operations of office general services (main point of contact with the landlord);
  • Create local purchase orders for various departments (Marketing, Communications, General Services, Sustainability, Human Resources) and provide administrative follow-up on related processes;
  • Manage the company vehicle fleet database and coordinate maintenance appointments for executive vehicles;
  • Organize and schedule appointments, travel arrangements, presentations, and general events, as well as manage and reconcile related expenses;
  • Manage lease agreements and insurance policies;
  • Generate certificates and official documentation;
  • Manage inventory of office supplies and Personal Protective Equipment (PPE);
  • Monitor local employee updates, including medical leaves, hires, terminations, and medical check-ups.

We believe you have

 

  • Higher education in Business Administration or a related field;
  • Intermediate to advanced English proficiency is a plus;
  • Solid experience in administrative routines and processes;
  • Knowledge of SAP or another ERP system;
  • Proficiency in Microsoft Office applications (Word, PowerPoint, Outlook, and especially Excel);
  • Strong communication skills, including verbal, written, and digital communication;
  • Organizational and planning skills, with the ability to prioritize tasks and meet deadlines;
  • Teamwork skills, with the ability to collaborate effectively with others;
  • Attention to detail and the ability to identify and correct errors;
  • Strong organizational skills, sound judgment in prioritizing demands, and effective time management.
