Department Assistant


We are looking for a professional, who will support Board and Site administration associate and employees to create an optimized organization and business agenda, including all related activities.


You will be based in Olsztyn, Poland. 


What you will do


As Department Assistant, you will:

  • Perform complex diary management - arranging internal and external meetings.
  • Manage international travel arrangements, including visa applications and expense reports.
  • Manage and organize Management meetings.
  • Attend meetings when asked to do so, taking and circulating minutes, and following up on action points.
  • Communicate with a wide range of internal and external contacts, including senior executives within the Tetra Pak organization.
  • Provide support in internal announcements.
  • Responding to and re-directing incoming enquiries as appropriate.
  • Support the Organization.
  • Providing translations and correspondence in English and Polish.
  • Archive management.
  • Maintain internal contacts with Tetra Pak colleagues in the daily support.


Who you are


We believe you have:

  • At least 3 years relevant experience, preferably with experience as a Management Assistant.
  • Excellent written and verbal communications skills in English, including spelling and grammar. 
  • High School Diploma.
  • Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint).
  • SAP knowledge is an advantage.
  • Excellent organizational, interpersonal/communication.
  • Demonstrated ability to handle and prioritize multiple tasks.
  • Demonstrated ability to work effectively in a demanding and fast developing environment.
  • Demonstrated ability to accurately prepare materials and arrangements prior to agreed deadlines.
  • Strong attention to detail and follow-up.
  • Ability to stay calm, focused and motivated under pressure.
  • Demonstrated ability to respond confidently, courteously, diplomatically and professionally to incoming requests from internal and external contacts at all levels.
  • Dynamic, agile, flexible, independent.
  • Ability to maintain strict confidentiality and discretion.
