We are seeking a proactive and dynamic Project Administrator who is responsible for leading the administrative aspects of commercial projects. This includes overseeing project sales administration, managing orders, coordinating logistics, and handling invoicing tasks. This role is crucial in ensuring the prompt delivery of equipment and services, collaborating closely with Project Managers and Engineers throughout the project lifecycle.
The primary duty involves consistent engagement with the US and European markets. Consequently, proficiency in English is a critical prerequisite, with an expectation of 100% fluency.
This position will be base in Monte Mor, Sao Paulo. 
Tetra Pak is not sponsoring work visas or relocation for this position.

What you will do

As a Project Coordinator you will:

  • Have as the primary objective to prioritize and achieve efficiency in project sales, procurement, logistics, and delivery processes. This includes streamlining operations, optimizing resource allocation, and ensuring timely completion of projects.
  • Execute relevant invoicing activities according to Corporate Governance policy.
  • Comply with global standards, processes, local and legal requirements.
  • Maintain close communication with Project Managers, Engineers, and key stakeholders for project reviews, cost analysis, and follow-up.
  • Understand the impact of data quality and accuracy in purchase orders and other project-related documents.
  • By focusing on these aspects, the goal is to ensure successful project execution and ultimately, customer satisfaction.

We believe you have

  • Bachelors degree (must have);
  • Understanding of project management life cycle with the ability to independently navigate through each phase.
  • At least two years of experience in an administrative role, preferably within the food industry.
  • Good communication skills with the ability to resolve conflicts and negotiate with stakeholders independently.
  • Proven experience in collaborating with teams while also being capable of working independently without constant supervision.
  • Strong organizational abilities with a self-starter attitude to manage time and resources effectively.
  • Experience or familiarity with remote support;
  • Adequate knowledge about SAP, IT Tools & processes;
  • Ability to manage processing food equipment projects;
  • Demonstrate autonomy in managing projects with support in case of need;
  • Adequate customer contract management knowledge;
  • Attention to details and accuracy;
  • Problem-Solving skills;
  • Fluency in English;
  • Experience in transnational work environments will be highly valued;
