We are looking for a professional administrator who will provide support to the Vice Presidents and management team, to enable smooth-running and efficient business. In this role you will be the point of contact for the organisation, both internally and externally. You will have the opportunity to impact on the management team deliveries and drive projects of your own.
This position is based in Modena, Italy. In this role, you will support two Vice Presidents and their teams and be part of the PSE Admin Centre and report to the Manager PSE Admin Centre & VIP Visits, PSE Strategic Programs.
What you will do
• Manage the VP calendar and agenda across different global time zones to ensure optimal use of time and efforts in a proactive and independent manner
• Drive and support in organizing events, workshops and meetings
• Arrange cost-efficient travels, ensure agendas are set and domestic accommodation and trips are arranged by local colleagues in time, and manage travel reports
• Internal and external stakeholder engagement for the above tasks
• Support internal communication across the department
• Support in producing, reviewing and administration of presentations
• Drive improvements in administrative ways of working and secure implementation within the organisation
• Support in the coordination, follow up and documentation
We believe you have
• High school diploma in administration or University degree in Administration, or equivalent combined with experience from administration
• Minimum of 5 years of experience from similar roles in complex organizations
• Experience working with senior management team
• The capability to drive projects on your own, interacting with stakeholder’s cross organizations.
• Proficient in Microsoft Office software and possess the ability to quickly grasp and learn new technical tools & experience from working with AI-tools
• Fluent in English both written and spoken
As a person you have integrity, excellent communication skills and have a proactive approach to handle your work. You are a people person who can engage with people across the organisation and you have good networking skills. You have a service-oriented and flexible attitude to ensure that the Vice Presidents and team members are well supported. You are a finisher but still pay attention to details and have passion for administrational excellence. To be structured and quality oriented comes natural to you.
The leadership team will benefit from your proactive approach and clear communication. In addition, you are a good team player and listener, attentive to arising needs where you can make a difference.
